Vending machines are now a common sight in Indian offices, metro stations, hospitals and college campuses. Most of them no longer need coins. You can scan a QR code, pay with UPI and have a cold drink in your hand in under a minute.
If you have never used one, or you are facing a newer touchscreen model for the first time, this guide shows you how to use a vending machine step by step. It covers UPI, card and cash payments, what to do when something goes wrong, and how to use vending machine in India where QR payments are the norm.
Quick answer: 5 steps
- Browse the products on display or on the touchscreen and choose what you want.
- Note the product code on the shelf label, or tap the product on the screen.
- Pay by scanning the UPI QR code, tapping your card, or inserting cash.
- Wait for the “payment successful” message on the display.
- Collect your product from the pickup tray at the bottom of the machine.

Step-by-step on a smart touchscreen machine
A touch screen vending machine replaces the old keypad with a display that works much like a phone. Here is what each screen asks you to do.
Step 1: Wake the screen. Tap anywhere on the display. The home screen shows the full product menu with prices in rupees.
Step 2: Choose your product. Tap the item you want. Some machines let you add more than one item to a cart before you pay. Items that are sold out appear greyed out.
Step 3: Choose a payment method. The screen offers UPI, card and, on some models, cash. Pick the one you want to use.
Step 4: Pay. For UPI, a QR code appears on the screen. For a card, tap or insert it at the reader. For cash, feed the note into the bill slot.
Step 5: Wait for confirmation. A “payment successful” message appears within a few seconds. The machine then releases your product.
Step 6: Collect your item. Push the flap on the pickup tray and take your product. If you paid cash, collect any change from the coin return.
On an older keypad machine, the process is the same except for step 2. You type the product code printed under the item, such as A3 or B5, instead of tapping the screen.
How to pay with UPI or a QR code
UPI is the fastest way to pay, and it is the main reason a cashless vending machine has become the standard in India. You do not need exact change, and the payment takes a few seconds.
After you choose your product, the machine shows a dynamic QR code for that exact amount. Open GPay, PhonePe, Paytm or any UPI app and scan the code. Check that the amount on your phone matches the price on the screen, then enter your UPI PIN.
The machine receives the payment confirmation directly. You do not need to show your phone to anyone. Once the screen says “payment successful”, the product drops into the tray.
If you prefer a card, most smart machines accept contactless debit and credit cards. Tap the card on the reader for small amounts. Cash is still accepted on many models, but the bill acceptor may reject torn or folded notes, so keep a clean note handy.
Once you know how to use a vending machine with UPI, the whole purchase usually takes less than a minute.
Using snack and cold drink machines
Most machines you will see in India sell packaged snacks and cold drinks such as chips, biscuits, chocolates, juice, water bottles and cans. The steps are the same as above, but a few details help.
Cold drinks are stored in a chilled section, usually on the lower shelves. Bottles and cans drop a short distance into the tray, so give the machine a second to settle before you reach in. Combination machines hold both snacks and drinks, so check the display for what is in stock before you pay.
It also helps to check the price and expiry details shown on the screen or shelf label. Smart machines track stock in real time, so a product shown as available is almost always in the coil.

What happens inside the machine
If you have ever wondered how does a vending machine work, the answer is a short chain of sensors and motors controlled by a small computer.
Each product sits in a spiral coil attached to a motor. When your payment is confirmed, the controller tells the motor for your slot to turn the coil one full rotation. That pushes the front item off the shelf and into the tray.
A drop sensor near the tray checks that something actually fell. If the sensor sees nothing, many smart machines try the coil again or flag the sale for a refund. Payment works the same way. A UPI or card module confirms the payment, and a bill or coin validator checks cash before the machine releases your item.
That is the basic vending machine working principle: confirm payment, turn the right coil, and check the drop.
Fixing common problems
Payment deducted but product not dispensed
This is the most common worry, and it is usually resolved automatically. If the drop sensor does not detect your product, a smart machine marks the sale as failed and starts a vending machine refund to your UPI account or card.
For failed UPI transactions, RBI’s turnaround rules require the money to be reversed within five working days. In practice, most reversals land much sooner. Keep the UPI transaction ID from your app. If the money does not come back, contact support with that ID and the machine’s location, using the details below.
Product stuck in the coil
Sometimes a packet catches on the coil and hangs at the edge of the shelf. Do not shake or tilt the machine, as it is heavy and can tip over. Report it to support using the details below. If the sensor recorded no drop, the refund process above will start on its own.
Machine not accepting UPI or notes
If the QR code does not load, the machine may have lost its internet connection for a moment. Wait a few seconds and choose your product again. If a note keeps coming back, flatten it or try a newer note, because bill acceptors reject torn or crumpled currency.

Where you will find vending machines in India
The most common vending machine uses in India are quick snacks and cold drinks in places where a shop is not always open or close by. Offices are the biggest category. A vending machine in office pantries gives employees 24/7 access without a canteen queue.
You will also find them at metro and railway stations, hospitals, colleges, hostels, malls, gyms and residential societies. In cities like Chennai, Bengaluru, Mumbai, Hyderabad and Delhi NCR, smart machines with UPI are increasingly common [link: relevant city landing pages].
Wherever you find one, knowing how to use a vending machine means you can grab a drink or a snack at any hour.

Frequently Asked Questions
Can I get a refund if the product does not come out?
Yes. If the drop sensor does not detect your product, a smart machine cancels the sale and reverses the payment to your UPI account or card. Under RBI rules, failed UPI payments must be reversed within five working days. Keep your transaction ID and call 1800 8900 913 for Vendolite machines if the money does not arrive.
Do vending machines accept UPI?
Yes, most new vending machines in India accept UPI. After you choose a product, the screen shows a QR code for the exact amount. Scan it with GPay, PhonePe, Paytm or any UPI app, enter your PIN, and the product drops once the payment is confirmed. Many machines also take cards and cash.
How do vending machines detect coins and notes?
A coin validator checks each coin’s size, weight and metal content against stored values. Notes pass through a bill acceptor that scans their size, print and security features. Anything that does not match, including damaged or fake currency, is returned. On UPI-only machines this step does not apply, since payment is confirmed digitally.
How do I pick the right product code?
The product code is printed on the label below each item, usually a letter and a number such as A3 or C7. The letter marks the shelf and the number marks the slot. Type that code on the keypad. On a touchscreen machine, you simply tap the product picture instead.
What is a vending machine used for?
A vending machine sells packaged products without a shop assistant. In India, they are mostly used for snacks, cold drinks and water in offices, stations, hospitals and colleges. They run 24/7, accept UPI, and need no staff. Learning how to use a vending machine takes a minute, and the steps are the same everywhere.
